Fore! the VIP…
The Challenge
While on a sunny day in Hawai‘i, a VIP decided to call it quits after their group golf outing after nine holes and wanted to head back to the hotel and also rounded up 11 other friends, leaving the last 8 to finish their remaining holes
The Solution and Execution
Our activity staff invited the VIP and his buddies to a round at the clubhouse and quickly called our transportation lead. Knowing the location of all their vehicles and timing of their tours, the transportation lead quickly called the driver of their horseback tour, who had already made his drop and was on standby, to pick up the early golfers. The timing could not have worked better – as the golfers exited the clubhouse the transportation was ready to take them back to the hotel.
Keys Please!
The Challenge
Our onsite lead received a call that a couple who was departing had left their car keys in their hotel room… they had 40-minutes until boarding doors would be closing and did not have a spare key for their vehicle at their home airport. The airport is usually 30-minutes away, but during that time of the day there was traffic.
The Solution and Execution
Working in partnership with the hotel, airport staff, TSA, and airlines – our lead received the key for their room, began the drive to the airport while coordinating with our airport staff as well as the couple through our client. Tossing the keys out of the window to our airport staff, the lead circled the airport until given the all clear that the keys made it into the couple’s hands and they boarded the aircraft with minutes to spare.
Whether the Weather, We Always Have Fun
The Challenge
Inclement weather is something we all cringe at. On a particularly heavy activity day… inclement weather forced the cancellation of all of our tours.
The Solution and Execution
Working with the client, our onsite staff put together a creative and fun resort scavenger hunt. A list comprised of tasks where attendees would need to photograph and send in those photos to the client was advertised via the program app. To the winner – a hefty resort credit! Before you knew it we began to receive amazing photos of attendees with hotel staff, stunning landscapes and hotel architecture, delicious lunches, and even a paparazzi photo of the CEO! The attendees were sure to thank our onsite staff for instilling a little fun during a rainy day.
Breaking News – Brush Fire Closes Roads to the Airport… on Departure Day
The Challenge
We all love departure day – the culmination of a successful week of operating and proof that the year(s) of planning was worth it. A sudden brush fire closed the roads between the hotel and the airport with the final ¼ of our attendees still needing to get to the airport. BTW – we were at two separate hotels and had a nice majority of attendees departing the next day.
The Solution and Execution
Our onsite staff quickly began communicating with our client’s security team who had been in touch with the local police department. We had a small window of opportunity to get our attendees with departure flights to the airport via police escort and one hotel was completely cut off from the main highway. Working with our transportation partner, we were able to have motorcoaches drive along the shoulder lanes to meet up with police officers to get to the hotel. Onsite staff called and sent text messages to attendees who were departing that evening advising them that this would be their only opportunity to exit the hotel for their flights. The resort management allowed a minibus to shuttle attendees from the cut off hotel to the hotel with access to the highway. Bellmen quickly loaded attendee luggage onto the motorcoach they boarded. Airport staff were at the ready with porters to receive the influx of guests. The transportation company also had two motorcoaches stage overnight at the hotel just in case an evacuation order had been given as our client provided hotel rooms for the drivers. Each attendee was able to make their flight… even one couple who had been off property at the time and left their checked luggage back at the hotel – their luggage was mailed back to them the next day.
